Job Summary

Provides direction and coordinates daily activities of Preparation and Processing employees. Conducts training of employees and Quality Assurance audits. Maintains the daily workflow spread sheet for records prepped, scanned, QC’d and QA’d. Performs audits of records, as well as assists with QA at other sites to assure they have been received and scanned, researches and locates missing records which were not received. Conducts training for newly acquired Health Information Management employees.

Job Duties

  • Establishes daily staffing assignments and priorities to assure work distribution within all areas.
  • Trains and coordinates training and cross training of employees.
  • Assures training is consistent and complete.
  • Travels and trains employees at newly acquired hospitals on the Kofax system for the Scanning Process.
  • Assists with interviewing applicants and the selection of new employees.
  • Provides department orientation for new employees.
  • Provides assistance and training in the use of computer software applications.
  • Determines need for equipment repair, assures service calls are placed and that repair is completed.
  • Performs quality audits on workflow and employee performance.
  • Leads a team to do record inventory for all new acquisitions with hospital based records by the system.
  • Assists in updating, documenting and communicating policies and procedures for the department.
  • Completes outpatient and inpatient chart audits.
  • Provides support via telephone, e-mail, and in person and serves as the primary liaison between PandP, clinics, Physicians, secretaries, patients, etc.in order to answer questions, resolve problems, and perform record searches.
  • Facilitates the Health Plan daily extract and assures it is processed and returned in one business day.
  • Facilitates monthly TAT and Aging Report for Performance Statistic Graph.
  • Maintains and updates scanning spreadsheet for records destroyed at GMC and G-SACH.
  • Maintains Legal Holds on Paper Discharge Records until destruction is permissible.
  • Performs weekly audits of records located to the HIM Scanning Locations to assure they have been received and scanned, researches and locates any missing records which were not received.

Education

High School Diploma or Equivalent (GED)- (Required)

Experience
